      Information on personal data processing

      By ensuring registration  for the KPMG Baltics seminar/ informative event (hereinafter – the seminar) and the course of the seminar, the processing of personal data will be carried out – KPMG Baltics SIA (registration number: 40003235171, e-mail address: datu_iesniegumi@kpmg.lv, address: Roberta Hirša iela 1, Riga, LV-1045, Latvia) and KPMG Law ZAB SIA (registration number: 40203342389, e-mail: datu_iesniegumi@kpmglaw.lv, address: Roberta Hirša street 1, Riga, LV-1045, Latvia) (hereinafter together – KPMG) each as a separate controller will process personal data to the extent and in the manner indicated below.

      Regulation 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (hereinafter - the Regulation), as well as other applicable external laws and regulations of the Republic of Latvia, shall be applicable to the processing of personal data by KPMG.

      We are committed to protecting and respecting your privacy. This Seminar Privacy Policy provides information on the processing of personal data, which is carried out by KPMG when organizing and providing seminars and other informative events, including conferences, trainings.

      Where personal data is collected from

      KPMG obtains personal data from the data subject himself/herself when, for example, the data subject applies for a seminar by filling out an application form or communicating with KPMG. In addition, personal data are obtained from the data subject in the event that registration for the seminar is carried out on behalf of the data subject by another person who is responsible for respecting and ensuring the rights of the data subject.

      Data subjects within the meaning of this Privacy Policy are considered  to be persons who register for participation in seminars or attend seminars, as well as natural persons who are invoiced for attending the seminar and other  persons specified in this policy.

      THE OBLIGATION TO PROVIDE

      Name, surname, e-mail address of the seminar participant, information about the seminar(s) that the participant will attend - you are obliged to provide this personal data. This information is necessary for KPMG to provide the seminar participant with the opportunity to participate in the seminar, including to contact the seminar participant about the course of the seminar using the participant's e-mail address, to send an invoice, a confirmation of the seminar attendance and a seminar evaluation questionnaire. As well as the processing of this personal data, it is necessary for KPMG to be able to certify the provision of the seminar as a service. It will not be possible to attend the seminar if this information is not provided to KPMG at the time of registration. If more than one participant will attend the seminar, then the above information must be provided for each participant.

       

      THE RIGHT TO PROVIDE

      Information about the position/position of the seminar visitor in the company - You have the right to provide this personal data so that KPMG has the opportunity to apply the seminar material to the professional field of activity of the seminar participant, including specific examples relevant to specific sectors in the seminar. 

      The legal basis for these processing operations is the need to perform the contract to which the data subject (seminar participant) is a party, as well as KPMG's legitimate interest in ensuring the efficient conduct of the seminar and maintaining proof of the provision of the seminar as a service and the person's participation in the seminar.

      6 months after the seminar has taken place or until the purpose of the processing has been achieved (an event that occurs earlier)

      THE OBLIGATION TO PROVIDE

      Personal data of the payer - name, surname, personal identity number, address, e-mail address, if the addressee of the invoice issued by KPMG for attending the seminar is a natural person.  The e-mail address is used to send an invoice and communicate in matters related to the payment of the invoice. If the specified personal data is not provided, participation in the seminar will not be possible.

      The need to fulfill the obligation laid down in the Law on Accounting and the Value Added Tax Law applicable to KPMG, ensuring compliance with accounting requirements and compliance with supporting documents. In addition,  KPMG's legitimate interests may apply to communication about invoice payment  and payment control.

      THE RIGHT TO PROVIDE

      Broadcast and recording of the seminar - photo and video image and sound of the lecturer and participant (visitor) (processing of audiovisual data of persons), names and surnames of the participants actually connected or other information indicated by them.

      A seminar participant can turn off the camera or microphone at any time during the seminar in the application used to conduct the seminar (for example, Microsoft Teams).

      To participate in an online seminar or enter an online seminar room, a seminar participant may be asked to enter a name. This name does not have to be the "real" name of the seminar participant; it can also be a nickname.

       

      KPMG's legitimate interest in ensuring the availability of the seminar to participants who have applied for the seminar. KPMG provides an opportunity for seminar participants to listen to the seminar both online (on the day of the seminar) and at the time desired by the seminar participant.

       

       

      3 months, unless the seminar offer specifies a shorter period within which KPMG has undertaken to provide seminar participants with the opportunity to listen to the seminar (online or at a time desired by the seminar participant).

      THE RIGHT TO PROVIDE

      Your e-mail address for receiving KPMG news – if you would like to receive information from KPMG to your e-mail address, including about other seminars organized by KPMG, KPMG services and current events in KPMG's industry, please indicate your e-mail address. In this way, you will give your consent to the fact that a questionnaire will be sent to this e-mail address in order to receive KPMG news.

      In this section, you are entitled to provide only your e-mail address.

       

      Your consent, which you have the right to withdraw at any time by sending an email to the address to datu_iesniegumi@kpmg.lv or datu_iesniegumi@kpmglaw.lv, as well as the possibility of withdrawing consent, will be provided to you in each KPMG newsletter email.

      Until the withdrawal of consent or until the purpose of the processing is achieved (an event that occurs earlier)

      Name, surname, position/position in the company of the seminar participant, information about the seminar attended. If the invoice for attending the seminar will be issued to a legal entity, then KPMG may retain information in relation to this legal entity about the seminar attended by the natural person (name, surname, position/position in the company, if this information will be provided) for the purpose of creating a profile of this legal entity, so that KPMG can establish a client-oriented relationship with this legal entity and can offer KPMG services that are as useful as possible. 

      KPMG's legitimate interest in ensuring efficient commercial activity, effective communication with its clients, potential clients, by providing these persons and their interests with the most appropriate information possible.

      If the participant of the seminar does not want his or her personal data to be used for this purpose, the participant of the seminar has the right to object to it by sending his or her objections to the address datu_iesniegumi@kpmg.lv or datu_iesniegumi@kpmglaw.lv

      Photo of the seminar visitor – During the seminars, KPMG can take photos of the seminar, including seminar visitors, and publish these photos, together with information about the particular seminar, on its website www.kpmg.lv and www.kpmglaw.lv, as well as on its social media profiles, including Facebook, X, Instagram, to provide information about KPMG and its services.

      KPMG's legitimate interest in ensuring effective operation, promotion of its image and activities. If the participant of the seminar does not want his photo and information about participation in the seminar to be used for this purpose, the participant of the seminar has the right to object to it by sending his or her objections to the address datu_iesniegumi@kpmg.lv or datu_iesniegumi@kpmglaw.lv.

       

      Until the participant of the seminar asks to stop the publication of personal data or until the purpose of the processing is achieved (the event that occurs earlier)

       

      Once published on social media, retention is determined by the respective platform. We will delete content from our social media profiles upon objection, where possible.

      If, when registering for the seminar, the personal data of another natural person is provided to KPMG (for example, registering a colleague for participation in the seminar), then the person of the submitter as the controller is responsible for the lawfulness of the transfer of this data to KPMG, including the person is prohibited from providing personal data to KPMG if there is no legal basis for this processing (for example, the colleague has not given consent to this registration). As well as the person must provide those individuals whose personal data is provided by the submitter to KPMG, the information contained in this document.

      By submitting personal data to KPMG and arriving at the seminar, the person confirms that he/she has read the information contained in this document and it is understandable to him/ her.

      Recipients of personal data

      The personal data provided when registering for the seminar may be transferred to other persons as KPMG processors who process personal data on behalf of KPMG. In cases specified by law, personal data may be transferred to state authorities as controllers. If the invoice is not paid within the time period specified in the invoice, then personal data may be transferred for debt collection to debt collection companies or other controllers (for example, court, bailiffs) to ensure payment of the invoice. Such processing of personal data takes place using the rights granted to KPMG specified in data protection regulatory acts.

      Personal rights

      A natural person whose personal data is processed by KPMG has the right to request KPMG access to and rectification or erasure of his or her personal data, or the restriction of processing, or the right to object to processing, for example, in the event the person considers that the processing carried out by KPMG on the basis of a legitimate interest is disproportionate.
